Why is Cs Camps not holding a physical meeting for its AGM this year?
We have had to make some changes to our AGM this year in light of the current COVID-19 environment. To ensure the safety of our community, our AGM will now be held online, rather than in person.
How do I attend the AGM online?
You can access the AGM using a desktop computer, laptop or a mobile device. To ensure you are ready to join the meeting, it is recommended that you try using Zoom before the meeting to iron out any issues that may arise for you.
Please allow enough time before the meeting to prepare your computer by doing the following:
(a) Installing Zoom on your device
It is recommended you install Zoom on a device where you can access the link.
To install Zoom on your computer, go to https://Zoom.us/download and click the Download button. Zoom will automatically download the correct version for your computer. Once Zoom is downloaded follow your normal installation process. If you prefer to use a tablet or phone, Zoom is available from the Apple App Store Google Play Store.
(b) If Zoom is already installed on your device, simply access the meeting on that device by clicking on the Zoom link
Due to the number of people attending the AGM, the Meeting Chair will be unable to help with technology issues that may arise during the meeting. So being prepared ahead of time is going to be important.
What is the link for the Cs Camps AGM?
The link can be accessed using the button in the information above. We recommend you log into the call at 10.45am, as this will ensure you are able to access the meeting and you will be ready to start at 11am.
Once you have clicked on the link, you will enter a 'virtual' waiting room prior to the meeting starting. The meeting will start at 11am and you will be admitted from the waiting room to the meeting when it starts.
How will I ask a question during the meeting?
During the meeting you will be able to ask questions by typing your question in the Zoom ‘chat’. The Meeting Chair will demonstrate how you can table your questions at the start of the AGM. Any questions asked during the meeting will be directed to the Meeting Chair and will not be visible publicly. The Meeting Chair will then table your question where appropriate in the agenda.
A record will be kept of all questions asked during the AGM.
How will I vote during the meeting?
To be able to vote during the AGM, you will need to be a current member. A current member is any person over the age of 18 who has attended a camp in the last 13 months (Nourish 2019, SACs 2019, MTCs 2020, YTCs 2020, BTCs 2020).
Current members will be able to vote during the meeting, using the polling function that the Meeting Chair will launch during the AGM. The process for voting during the meeting will be as follows:
1. The Meeting Chair will launch each Poll during the Zoom meeting, at the appropriate place on the agenda
2. Current Members will be asked to vote on each resolution, using the online form that will appear on your screen during the meeting
3. Once voting for each resolution has been completed, the Meeting Chair will close the Poll
4. The Meeting Chair will then share the results with everyone in attendance at the meeting
5. Proxy Votes will be counted in the voting outcomes
Current members are also able to vote on resolutions in advance of the AGM by completing the Proxy Form and emailing it back to thecampingprogram@gmail.com up to 24 hours before the meeting.
If you wish to attend the AGM only, but not vote, you are welcome to attend the meeting via the Zoom link.
If I vote prior to the AGM can I still attend the AGM?
Yes, you are welcome to attend the online AGM if you have already voted prior to the meeting. However, you are only able to vote once. Therefore, if you have voted prior to the meeting using the Proxy Form then you will not be able to vote during the meeting.
What are common problems I might encounter during the Zoom meeting?
If you cannot be heard:
Once the meeting starts, the Meeting Chair will put everyone in the meeting on mute to ensure the presenters can be heard. You can ask questions by writing your question in the Zoom ‘chat’ and the Meeting Chair will address your questions during the meeting.
If you cannot be seen:
You may have turned off your camera. If you see a “Start Video” icon in the bottom left hand corner of your Zoom screen click on it to remove the red line and start your video.
If you cannot hear the meeting:
Your computer’s volume may be set too low
